Email Services
All Strathmore Staff and students are eligible for a @strathmore.edu email address that is used for all official communication.
Note that for a staff member to get an email, the HR must authorize while for students, the respective school or faculty has to authorize.
Step 1 – Set up your Mobile Recovery option
1) Log into your email and Go to settings.
2) Click on “Accounts and Import”
3) Click on “Get Started”
4) Type your mobile number as shown and click on “Done”.
You will receive a confirmation code on your mobile
5) Enter the confirmation code and click Verify
Step 2 – Set up your email Recovery Option
In future if you happen to forget your Strathmore email password!
1) Click on “Need Help”
2) After which click on “I don’t know”
3) Click on “Continue” to send a Text Massage on your phone
4) Enter the code that has been send to your Mobile click “Continue”
5) Finally it will allow you to change the password
This service is important for departments with a group email used to communicate with clients who constantly send emails and there is a need to know that the email has been received. Auto reply thus seeks to act as an acknowledgment of receipt of the sent email.
This is achieved by combining canned response features and Gmail filters. See the steps below:
Create A Gmail Canned Response
1. Click “Settings” in your Gmail account.
2. Canned response feature is found under the Labs tab as shown below:
3. Click the “Enable” for “Canned responses” and hit “Save changes” at the bottom of the page
4. Create a canned response as below:
- Open a new email inside Gmail by selecting “Compose Mail”.
- Type your message and content you wish to save as a canned response and select the arrow at the bottom right once finished. Click on “New Canned Response” to save your email.
Example of Canned Response: “Thank you for your application, we acknowledge receipt. This email serves as your confirmation that we have received your online application... “Please note that this is a system generated email, please DO NOT REPLY TO THIS EMAIL. ““ - Create a title for your saved canned response and hit “OK” to finish saving your email. Please note that the title will be the subject line for the email.
- Your canned response is ready to be used and will be accessible from the canned response drop-down menu.
- To use your canned response, choose from the drop-down and the message will automatically be pasted in the email body automatically.
Auto reply to incoming messages with Gmail Canned Responses
1. Go to Settings. Choose the “Filters” tab and click on “Create a New filter”.
2. Select the rules which you want to apply to the Gmail filter.
- Choose a “From” or “To” email address, subject, or some specific words in the email body as a filter. For example, recruitment@strathmore.edu.
- Once completed, Click “Next step”.
3. Select “Send canned response” check box and select the canned response you want to send.
- Select “Create Filter” and you are done creating an auto reply in Gmail.
Now whenever you get an email that matches your filter, your canned response will be automatically sent to the sender.
Enjoy this pleasant service to manage flow of your emails!!!
If you’ll be away from your Gmail account, like on a vacation or without access to the Internet, you can set up a vacation responder to automatically notify people that you won’t be able to get back to them right away. When people send you a message, they’ll receive an email response containing what you’ve written in your vacation auto reply.
Set up your vacation reply
- Open Gmail.
- In the top right, click Settings.
- Scroll down to the “Vacation responder” section.
- Select Vacation responder on.
- Fill in the date range, subject, and message.
- Under your message, check the box if you only want your contacts to see your vacation reply.
- At the bottom of the page, click Save Changes.
Note: If you have a Gmail signature, it will be shown at the bottom of your vacation response.
Turn off your vacation reply
When your vacation reply is on, you’ll see a banner across the top of your inbox that shows the subject of your vacation response.
To turn off your vacation response, click End now.
When your vacation reply is sent
Your vacation reply starts at 12:00 AM on the start date and ends at 11:59 PM on the end date unless you end it earlier.
In most cases, your vacation response is only sent to people the first time they message you.
Here are the times someone may see your vacation response more than once:
- If the same person contacts you again after four days and your vacation reply is still on, they’ll see your vacation response again.
- Your vacation response starts over each time you edit it. If someone gets your initial vacation response, then emails you again after you’ve edited your response, they’ll see your new response.
- If you use Gmail through your work, school, or other organization, you can choose whether your response is sent to everyone or only people in your organization.
Note: Messages sent to your spam folder and messages addressed to a mailing list you subscribe to won’t get your vacation response.
